Reporting

What to do when data is inaccurate or unavailable
Reporting relationship issues:
- If the change is recent and the case is still open in MyConnection, you can inquire about the time to complete the reporting relationship changes in the case.
- You can update employee status and reporting relationships in AIMS, or long an inquiry via MyConnection.
Learning is not reporting accurately:
- Course completion updates are not immediate in reporting, it should be resolved in 1-5 days.
- Ensure employees, particularly new hires, log into MyConnection through MyConnection. Do not use direct links to courses. This ensures that the learning is attached to their Person ID and they are not creating multiple accounts.
- In the cases where the employee is not a course administrator for MyLearning and it was completed more than one week prior, please do not have the learner retake the learning. Have the employee log an inquiry with the Learning & Development team through MyConnection > My Learning > Questions about MyLearning and the team can support them. Do not log the ticket on their behalf as it is likely to create delays.
Non-SHA employee reporting:
- SHA leaders who need to track learning of individuals who are non-SHA can request a list of all individuals who have completed privacy training who do not have a Person ID associated with their account (about 40,000 individuals). The requesting leader will be required to manually review. Thinkific can only provide first name, last name, and information about the course. NO contact information (like email addresses) can be provided because we cannot guarantee is it not personal information.
Data accuracy
Known factors impacting data accuracy:
- Data is synced nightly; reports will only be accurate to work completed the day prior.
- Data will only be as accurate as the reporting hierarchy in the system. Reporting relationships may not be accurate if:
- Relationship changes have not been processed in the system yet
- Employee status changes have not been reported.
- Employee learning may not report accurately when:
- The employee is a course administrator in MyLearning.
- There is no Person ID associated with their account. This could be due to having duplicate accounts or the employee never having logged in through MyLearning.
- The progress reporting tool that managers access through MyConnection does not have a filter to remove those on leave; this report weekly does filter to show only to active employees.
- There is no way to track non-SHA employed staff, such as physicians, contracted nurses, etc. that are not in the AIMS payroll system.
Affiliates
Employees of affiliate organizations can take the privacy training. Refer to Knowledge Document KB0011789 in MyConnection for instructions on how to access Progress Reporting.
