Photos, Video and Images
All public, staff and patient information, training materials and promotional content must align with SHA visual identity standards and maintain a professional appearance, tone, language and layout.
Templates and Graphic Elements
Comical, satirical, cartoon-style or other unapproved graphic elements are not permitted when using SHA templates for public, patient or multi-unit staff materials, or for content displayed in publicly accessible areas.
This applies to all visual media, including images, illustrations, animations and video. All visual content must align with SHA visual identity standards and maintain a professional appearance.
Image and Graphic Use
Photographs, videos, images and infographics must:
- Meet SHA visual identity standards.
- Be high quality and published at appropriate resolution.
- Follow copyright, licensing and consent requirements.
- Comply with SHA media consent processes.
Infographic elements have been developed for organizational use. Contact Communications for guidance and access. All images used in SHA print, intranet, digital, and external materials must be authentic, appropriately licensed, and sourced from approved channels. AI-generated images are not permitted for internal or external SHA communications materials.
SHA-Owned Images
SHA-owned images include:
- Photographs taken or provided by staff with appropriate consent.
- Images purchased or licensed for SHA use.
- Photos provided by individuals or organizations with proper authorization.
All images, video and infographic elements must have appropriate permissions, consent and licensing in accordance with The Health Information Protection Act (HIPA), SHA requirements, and comply with copyright laws.
Employees and physicians are expected to use SHA-owned or properly licensed images in promotional materials, including posters, brochures, newsletters and other distributed documents.
Internet Images
Images and videos obtained from the internet must comply with copyright laws, licensing requirements and terms of use. Unauthorized use of copyrighted material is prohibited.
Using unlicensed images or videos may result in significant financial penalties. Copyright owners regularly monitor and enforce unauthorized use of their content.

Media Consent
Written consent is not required; however, meaningful express verbal consent must be obtained each time photos, videos or recordings are gathered.
SHA employees, volunteers and physicians are not required to sign the SHA Media Consent form. However, meaningful express verbal consent must be obtained each time material is recorded or gathered. The verbal consent statement outlined below can be used when gathering photos or recordings of SHA staff, volunteers and physicians.
“Your participation today is optional and you can choose to withdraw at any time.
I want to confirm that today’s [video/photography/interview] is for use with SHA’s [intended use].
I also want to confirm that anything captured or recorded today will be added to SHA’s media library and may be used to produce additional promotional or educational material in future. That could include both physical and digital material meant for internal or public facing audiences, distributed through any of SHA’s platforms, such as the public website or social media.
You can choose to not participate or limit the use of what we collect today. You can also choose to withdraw your consent at any time in the future by letting us know.
Based on this information, do you consent to participating in today’s recording/interview session?”
Written consent is required for patients, visitors and any individual who is not employed by the SHA. The SHA Media Consent Form must be completed before collecting photos, video or recordings.
